Community History Collection

Preserve your community’s history before it fades

Neighbors, businesses, and local historians hold the photos of your town’s past. A Collection gathers them — with the year, the place, and the story — into one heritage archive.

A town’s memory lives in a few people’s attics

The photos that tell your community’s story sit in private albums, and each year a few more are lost for good. A Collection lets any neighbor add what they have, records the year and place while someone still remembers, and gives your historical society one organized archive to protect and share.

Organize by decade, place, and event

A folder structure built for local history — decades, locations, people, and events — so the archive stays navigable as it grows.

Record the details that matter to historians

Year, location, and description travel with each photo, and download as a spreadsheet alongside the images.

Share what’s ready, protect the rest

Publish the folders you’ve verified as a public gallery; keep unsorted or sensitive photos private to your team.

How a Collection works

1

Share one link

Anyone with the link adds photos from their phone or computer — no app, no account to create. Their uploads land in one place for your team to sort.

2

Add the stories

Every photo can carry the year, the names, and a short description. Contributors add what they remember; your curators fill in the rest.

3

Organize as a team

Sort photos into folders, tag them, approve what belongs, and hand roles to the people helping. Your whole team works in the same Collection for the project.

4

Publish and download

Show the folders you choose as a gallery or a slideshow, and download the whole archive with a spreadsheet of every detail. What you download is yours to keep.

The workspace is where your team collaborates for the year. The archive you download — every photo at original quality, plus a spreadsheet of the details — is yours to keep.

Common questions

Most of our photos are old prints. Can we still add them?

Yes. Snap a photo of the print with your phone — lay it flat in good light — or upload a scan. It goes in with the same year, names, and description as any other photo. Many contributors photograph a whole album page, then add the details afterward.

Who should own a community archive?

Pick one steady person or officer to own the Collection — often someone at the historical society. They invite curators to help, and if they ever step down, ownership can be transferred, so the archive is never locked to an address no one can reach.

How is this different from a shared drive or group album?

A shared drive holds files. A Collection holds the context too — the year, the names, the story behind each photo — and lets a team sort, tag, and approve together. You end up with an organized archive, not a folder of mystery photos.

Do contributors need an account?

No. You share a link, they add photos and details from any phone or computer, and their uploads arrive for your team to review. The owner and curators sign in to organize; contributors just use the link.

How long do we have access — and does it renew?

A Collection is a 12-month collaborative workspace: you can upload, organize, publish, and export the whole time. Renew to keep the workspace going year after year — your archive carries forward, it doesn’t reset. If you decide not to renew, there’s a grace window after the term where the owner and curators can still download everything before the workspace closes.
